We respect your privacy and comply with South Africa’s Protection of Personal Information Act, 2013 (POPIA).

1) Who we are & how to contact us

2) What personal information we collect

  • Account & billing: names, company details, registration/ID numbers (if supplied), VAT (if supplied), billing/service addresses, emails, phones.
  • Service data: domains, DNS, hosting package, server logs (IP, user agent, timestamps), support tickets.
  • Website content (Help Me): text, images, logos and other content you provide.
  • Payment data: processed by our gateway; we do not store full card PAN/CVV.
  • Usage/Cookies: essential cookies and basic analytics (see Section 10).

3) Lawful grounds (POPIA)

  • Contract necessity (to deliver services/support).
  • Legal obligation (records, compliance, fraud/abuse prevention).
  • Legitimate interests (security, troubleshooting, improvement—balanced against your rights).
  • Consent (for optional comms where required, withdraw any time).

4) How we use your information

  • To create/manage your account and services.
  • To register/renew/transfer domains and manage DNS/hosting.
  • To provide support and communicate about status/incidents/billing.
  • To secure systems (monitoring, backups, access controls, logging).
  • To meet legal/regulatory requirements.
  • With consent, to send updates/marketing you opted into.

5) Operators & international transfers

We use operators (registrars/registries, hosting/CDN, email/ticketing, payment gateway) under contract and our instructions.

Cross-border transfers comply with POPIA s72 (adequacy, agreements, consent, or contract necessity).

6) Security

  • Access controls and role-based permissions.
  • HTTPS/TLS and hardened servers.
  • Routine backups and integrity checks.
  • Logging/monitoring for security events and abuse.
  • Contractual security/confidentiality with operators.

7) Retention

  • Account/service: kept while you’re a customer and as required (e.g., up to 5 years for financial records).
  • Backups/logs: retained on rolling schedules for operations/security.
  • When not needed, we delete or de-identify data.

8) Your rights (POPIA)

  • Access, correction, deletion (where lawful), and objection/opt-out; withdraw consent where used.

Email the Information Officer administrator@sparrowgrid.com from your registered client email. We may need to verify identity.

9) Direct marketing

We are not involved in marketing in any way and will not send you any marketing emails at this stage. Any 'marketing' email sent to you that may seem to have come from Sparrow Grid must please be reported to administrator@sparrowgrid.com

10) Cookies & analytics

  • Essential: login/session, security, load balancing.
  • Basic analytics: aggregated usage to improve services.

You can block cookies; essential features may not work correctly.

11) Children

We serve businesses/adults. If a child’s information was provided, contact the Information Officer.

12) Sharing

We don’t sell personal info. We share only as needed: operators under contract, registries/registrars, payment gateways, and authorities when required by law.

13) Automated decision-making

No automated decisions with legal/similar effects; only basic anti-abuse/security monitoring.

14) Data breaches

Where required by POPIA, we’ll notify the Regulator and affected individuals as soon as reasonably practicable.

15) Complaints

16) PAIA

If Sparrow Grid publishes a PAIA manual, follow that for access to records.

17) Changes

We may update this policy; the “Last updated” date will change and material changes will be communicated with reasonable notice.
